Adapt Media is hiring an Ad Operations Coordinator to support the execution, monitoring, and optimization of Digital Out of Home advertising campaigns across our national network.

About The Role

The Ad Operations Coordinator plays a critical role in the execution, monitoring, and optimization of Digital Out-of-Home (DOOH) advertising campaigns across a large, multi-network footprint. This role sits at the intersection of Sales, Technology, Finance, Creative, and external media partners, ensuring campaigns launch on time, run smoothly, and deliver as contracted.

This is a hands-on, detail-driven role ideal for someone who thrives in fast-paced environments, enjoys process ownership, and understands how digital media runs behind the scenes.

Key Responsibilities

Campaign Setup & Execution

• Manage the end-to-end lifecycle of direct and programmatic DOOH campaigns

• Receive and review signed contracts, organize campaign documentation, and maintain accurate client and campaign folders

• Pre-book, schedule, and launch campaigns using CMS platforms

• Upload, test, QA, and schedule creative assets according to network specs, flight dates, saturation, and priority rules

• Confirm campaign launches with internal stakeholders using proof-of-posting screenshots and documentation

Creative Review & Compliance

• Review, approve, or reject creatives across programmatic platforms (Broadsign Reach, Perion/Hivestack, Vistar, Place Exchange)

• Enforce network-specific creative guidelines, category restrictions, and regulatory requirements

• Coordinate creative approvals with external partners and SSPs

• Track denied creatives, reasons for rejection, and approval status in shared documentation and ensure compliance with special restrictions

Campaign Monitoring & Optimization

• Monitor live campaigns regularly to ensure accurate delivery and pacing

• Identify and escalate under-delivery, screen outages, or technical issues

• Work closely with technical and operations teams to resolve issues quickly

• Proactively communicate impacts or changes to Sales and other stakeholders

Programmatic & SSP Operations

• Set up and manage PMP deals across SSPs

• Maintain accurate inventory metadata, tags, impression counts, and deal settings

• Ensure all SSP integrations, campaigns, and deals are active, accurate, and renewed on time

• Support Sales with programmatic approvals, troubleshooting, and agency requests

• Assist with onboarding new networks into programmatic platforms

Reporting & Proof of Performance

• Produce mid-campaign and post-campaign performance reports

• Coordinate proof-of-posting photos or screenshots (TeamViewer or installer photos)

• Support Sales and Finance with delivery confirmation and billing validation

Inventory & Network Management

• Maintain accurate DOOH inventory records across internal systems, CMS platforms, and SSPs

• Support screen activations, removals, outages, and operational updates

• Assist with quarterly audits of screens with zero or low delivery

Collaboration & Communication

• Communicate with the Digital Ops team to ensure network health and campaign readiness

• Act as a key liaison between Sales, Creative, Finance, Tech, and external media partners

• Support internal process improvements and documentation updates

• Participate in training, testing of new DOOH technologies, and industry initiatives

• Attend relevant industry events and internal planning sessions as needed

Qualifications & Experience

Required

• 1–3+ years experience in Ad Operations, Media Operations, or Digital Advertising

• Strong understanding of digital media workflows and campaign execution

• High attention to detail with strong organizational and documentation skills

• Ability to manage multiple campaigns, deadlines, and stakeholders simultaneously

• Comfortable working with data, reporting, and performance metrics

Nice to Have

• Experience in Digital Out-of-Home (DOOH) or OOH media

• Familiarity with programmatic advertising and SSPs

• Experience with CMS platforms or ad servers

• Understanding of creative specs, media compliance, and regulatory constraints
